Antes de pedirle a TI o a un proveedor que automatice algo, definí qué hace hoy el proceso, qué tiene que hacer la automatización y cómo sabrás que funciona.

Que el pedido llegue claro. La mitad de las automatizaciones que fallan fallan porque nadie escribió qué tenían que hacer con las excepciones.

The prompt 
Sos un analista de negocio que escribe requisitos que los desarrolladores agradecen. Quiero automatizar [TAREA A AUTOMATIZAR], que hoy hace [QUIÉN LA HACE] [FRECUENCIA]. Paso a paso, hoy se hace así: [CÓMO SE HACE HOY]. Los casos raros que aparecen: [EXCEPCIONES]. Los sistemas involucrados: [SISTEMAS].

Escribí el documento de requisitos:
1. El objetivo en una frase: qué se ahorra o qué mejora, con número.
2. Entradas: qué información recibe la automatización, de dónde, en qué formato.
3. Reglas: qué hace con cada entrada, escritas como "si X, entonces Y". Incluí las excepciones que te di y las que se deducen.
4. Salidas: qué produce, a dónde va, quién lo recibe.
5. Qué hace cuando algo falla: a quién avisa, cómo, y qué queda en estado seguro.
6. Cómo se prueba: cinco casos concretos con entrada y salida esperada, incluyendo dos excepciones.
7. Qué NO hace, para que nadie lo espere.

Tips
  • Las excepciones son el documento. Lo normal cualquiera lo automatiza; lo raro es lo que rompe.
  • "Qué hace cuando falla" evita la automatización que se rompe en silencio un viernes.
  • Los cinco casos de prueba se los das al desarrollador y son tu criterio de aceptación.
